JOB DIMENSIONS
Supply & Refining Department purchase around $7bn worth of crude & other feedstock and sell around $3 bn worth of finished product & intermediates annually. Job holder provides TES (Template Europe Supply) systems assistance & expertise to support the S&R Department, in order to effect accurate accounting of all purchase & sales transactions in the company SAP accounting system to ensure accurate reporting of company results.
ACTIVITIES
• System Support:
o Provide TES (SAP, M:Pro, any other systems related to S&R activity) Expert advice & support to S&R End Users & Key Users with respect to whole Supply process flow on Supply Template – including the areas of: - deals, nominations, ticketing, billing and stock reconciliation.
o Make proposals for improvements to the Supply Template System (TES) and communicate these to the Central European Back Office team based in Paris.
o Act as the UK intermediary between S&R and the Central European Back Office team in Paris, with regard to problem solving and anomaly correction. Prioritise and manage (in conjunction with the Paris support team) TES systems development requests and anomalies. Present these at the Anomalies Actions Meeting.
o Fully test and verify new TES processes and implementations during the roll-out across the Total Group.
• Maintenance of System Interfaces
o Control the maintenance aspects of the TES systems and the local interfaces to the Total UK based systems.
• Date Management
o Manage the Master data base (Products , Plants, Customers and Suppliers)
• Change Management Issues
o Develop/record Supply Back Office Key Performance Indicators (KPIs) to analyse and monitor both system and user performance. Report to management on a monthly basis.
o Assist business to update as appropriate all S&R TES documented procedures
o Coordinate the development and maintenance of the S&R Macroprocess.
• S&R projects management
o Take part on S&R projects regarding impacts on TES systems for any evolution of the market


CONTEXT AND ENVIRONMENT

A key team member of the Supply Back Office and the Department. This team provides functional, accounting, systems (SAP), operational systems (M:Pro) and administrative support to the Supply & Refining Department. The Supply Back Office handles all S&R’s product sales and purchases invoices, ensures all stock movements are correctly posted in the accounting system, handles various interfaces between systems and provides accurate financial and functional reporting to other departments within the UK.

ACCOUNTABILITIES

This position is directly accountable to the Supply Back Office Manager on all aspects of the Supply Back Office TES related processes and systems. This involves project work, reconciliations and day-to-day activities.
QUALIFICATIONS / EXPERIENCE REQUIRED
5+ years book-keeping and business systems experience
Ability to critically evaluate systems and processes
Ability to identify, analyse and resolve problems
Ability to make written recommendations for improvements
Able to work alone and use initiative
Accounting qualification (CIMA, ACCA) expected
Accuracy
Customer focus
Experience of Lotus Notes
Flexibility
Good negotiation, communication & coaching skills
Knowledge of complex pricing models
Large company experience in downstream sector of the oil & gas industry
MS Windows including Excel and Word at advanced level
Numeracy
Supervisory skills
Team worker
TES systems experience essential
University degree or equivalent in either a business or IT related subject
